"Current Policies and Procedures”

Background/Rationale:

It is useful to have a place on the Senate website where certain policies and procedures we pass and approve (as Proposals) are centrally located and arranged.  Degree and certificate approved proposals are not included in this listing.  Such a site already exists on the Senate Webpage under Governing Documents entitled “Current Policies & Procedures” and it is necessary to approve this site and the numerical scheme used to bookmark these policies for referencing purposes. 

One example of the importance of this compilation is the following:  Consider Senate Procedures 501.1.1 pertaining to Administrative Evaluation Procedure.  This requires that anyone having the title President; Vice-President; Provost; Vice-Provost; Chief Financial Officer; or any other Chief Officer be evaluated in a periodic fashion.  Currently this was approved as Proposal 22-94.  Therefore in order for Senators to become aware of this, one would need to find Proposal 22-94 on the web, which is not difficult, but then for what purpose would one read this?  Storing these approved policies on this page rejuvenates this policy and allows for its timely implementation by the appropriate Senate committee.

Proposal:

It is therefore proposed that we approve the listing of approved policies and procedures on the Senate Webpage and that the listing be divided into the various divisions as shown below.  It is the responsibility of the Senate Officers and Senate Assistant to update the site and to continue assigning numbers in the manner indicated below and as required for future approved proposals and to ensure that the documents contain a URL linkage to the actual proposal from which they were derived.  Note that proposals will still have the usual number-year notation but this numerical scheme only depends on which section the approved policy or procedure is placed in.  Policies contain numbers separated by one dot and procedures contain an additional dot and number.  The pattern and division can be obtained by inspecting the listing below.
