Academic Standing History
Remarks
A student's academic standing from the earliest term to the most recent term available.
Directions
- Enter SGASTDQ in the direct access field & press Enter.
- Enter the individual's identification number. If you don't know the ID number, refer to Quick Reference - Name/ID Search.
- Enter Term or press the SEARCH button to select a term.
- Arrow down to see available terms and press NEXT BLOCK. NOTE: To see a list of values for Academic Standing, type STVASTD at direct access and press enter. The Academic Standing Validation form will be displayed with the current values.
- Arrow down to view Academic Standing from the earliest term to the most recent term.
- Press ROLLBACK to process another student, or press EXIT to return to a menu.
Addresses
Remarks
Student's address listings.
Directions
- In the direct access field, type SOADDRQ and press Enter.
- Enter the individual's identification number and press NEXT BLOCK.
- If you don't know the ID number, refer to Quick Reference - Name/ID Search
- NOTE: The message 'Confidential' will be displayed in the Key Block if the student has requested that their information not be released.
- Using the arrow keys will scroll additional information.
- Check the To Date: for addresses that have expired.
- Press ROLLBACK to process another student, EXIT to return to a menu.
Class Roster
Remarks
A list of section information and the students enrolled in the course.
Directions
- In the direct access field, type SFASLST and press Enter.
- Enter Term: (YYYYMM format e.g. 200008)
Where MM = 08-fall, 01-spring, 05-summer
- Enter the Course Reference Number (CRN) and press NEXT BLOCK.
If you don't know the CRN number do the following:
- Press arrow (search button).
- Tab to SUBJ CODE and enter the desired subject (e.g. HU).
- Tab to CRSE and enter the desired course number (e.g. 1011).
NOTE: If you want to look only at a specific section, tab to SEC NO and enter the desired section identifier. Include the R for recitation, L for Lab, 0A for lecture (e.g. R01).
- Press EXECUTE QUERY. You may use the arrow keys to scroll once the results are displayed.
- Arrow to the appropriate line and press SELECT.
- Press NEXT BLOCK to see the list of students enrolled in the course. Use the arrow keys to scroll through the list.
- To select another course for the same term, click on ROLLBACK to return to the term field and return to Step 2 of this process.
- Press EXIT to return to a menu.
Classroom Availability
Remarks
A list of available classrooms based on selection criteria available.

- Query Available Class Room Choose Option to get to Available Class Room Query Form. Make the desired changes on this line indicating the day/time/capacity/etc. you would like to check. (The space bar turns the x's on and off).
- Press NEXT BLOCK to proceed to the Desired Room Attributes Block.
- Enter UGCL in the attribute field.
NOTE: By entering an attribute you can ask for a specific type of room with specific types of equipment, tables, etc. You can look at the room attributes by finding the attribute, positioning your cursor on that attribute, press OK. Most classroom attributes begin with the letter U. Press the search button below 'attributes' to view a list of available codes.
- Press NEXT BLOCK to process your request.
- Press ROLLBACK to start a new query or press EXIT once to return to meeting time block or twice to return to a menu.
Emergency Contacts
Remarks
Student's emergency contact information.
Directions
- In the direct access field, type SPAEMRG and press Enter.
- Enter the individual's identification number and press NEXT BLOCK.
If you don't know the ID number, refer to Quick Reference - Name/ID Search NOTE: The individual's first priority contact will be displayed. This would be the first person to be notified in case of an emergency. Using the arrow keys allows you to scroll through the various contacts if there are multiple (max 9 allowed).
- Press ROLLBACK to process another student, EXIT to return to a menu.
Faculty Associated with Course
Remarks
Faculty associated with a specific section of a course.
Directions
- In the direct access field, type SSASECT and press Enter.
- Enter the term (YYYYMM format, e.g. 200008) where MM = 08 - Fall, 01 - Spring, 05 - Summer.
- Enter the Course Reference Number (CRN) and press NEXT BLOCK.
If you don't know the CRN number do the following:
- Press arrow (search button).
- Tab to SUBJ CODE and enter the desired subject (e.g. HU).
- Tab to CRSE and enter the desired course number (e.g. 1011).

- Enter the individual's identification number and press NEXT BLOCK.
If you don't know the ID number do the following:
- Press SEARCH button next to the ID field.
Note: if the individual is an advisor tab to the Advisor field and press the Space Bar (a check will appear).
- Press NEXT BLOCK.
- Tab to LAST NAME and enter the individual's last name. If desired, tab to FIRST NAME and entter the appropriate first name or first letter and %.
- Press EXECUTE QUERY. The individual(s) matching your request will be displayed.
- Position your cursor on the correct person's ID, and press SELECT or double-click on the ID number. This will take you back to the SIAASGQ form with the selected ID number.
- Press NEXT BLOCK to fill the form with information.
- Press ROLLBACK to process another faculty schedule, or EXIT to return to a menu.
GPA (Current Overall)
Remarks
A student's current overall GPA.
Directions
- In the direct access field, type SHATERM and Enter.
- Enter the individual's identification number. If you don't know the ID number, refer to Quick Reference - Name/ID Search.
- Enter Level: Prior to Fall 2000 use 01 - Undergraduate, 02 - Graduate. Fall 2000 or later use UG - Undergraduate, GR - Graduate.
- Enter Start Term: (leave blank)
- Press NEXT BLOCK to see the Current Standing Block.
- Press ROLLBACK to process another student, or EXIT to return to a menu.
High School Info
Remarks
Student's high school information such as school name, graduation date, rank/size.
Directions
- In the direct access field, type SOAHSCH and Enter.
- Enter the individual's identification number and press Next Block. If you don't know the ID number refer to quick reference #P1.
- Press Rollback to process another student, or Exit to return to a menu.
Maximum Enrollment Update
Remarks
To change the maximum number of students allowed to enroll in a specified section.
FYI: You must be granted update capabilities to the form SSASECT in order to change section maximums. Check Help for more information on access.
Note: Cap adjustments: Courses that you may want to reduce caps would be courses with popular faculty or scheduled at prime times. Cap adjustments should be made just prior to a scheduled appointment time and if possible monitored during this time.
Problems and Concerns: Students register based on earned credits. When caps are reduced to populate sections evenly, some students encounter closed sections and have to alter their schedules, sometimes unable to schedule that particular course. Caps are then increased opening sections that during the prior appointment time were listed as closed. This allows students with less earned credits into these sections. (This is intentionally done with 1000 SS courses)

- Enter a valid CRN number. If you don't know the CRN do the following:
- Press the CRN Search button.
- Tab to Subject and enter the desired subject (e.g. HU).
- Tab to Course and enter the desired course number (e.g. 1011). NOTE: If you want to look only at a specific section, tab to Section and enter the desired section identifier. Include the R for recitation, L for lab, OA for lecture (e.g. R01).
- Press Execute Query. You may use the arrow keys to scroll once the results are displayed.
- Scroll to the appropriate line and Press Select.
- Press Next Block to display Section Details.
- Choose Section Enrollment Info from the drop down Options list.
- Enter the maximum number of students that should be allowed to register for the section displayed.
- Press Save to update the record.
- Press Rollback to process another section or Exit to return to a menu.
MTU GPAs
Remarks
MTU GPAs calculated during the term end grade process and as necessary. These include the Departmental, Engineering and School of Technology GPAs.
Directions
- In the direct access field, type SZAGPAS and press Enter.
- Enter the individual's identification number and press Next Block. If you don't know the ID number refer to quick reference #P1.
- Three GPAs will be displayed:
xxxMGPA = the departmental GPA for the major noted in the Program field.
ENGPA or ENGPA1 = the Engineeirng GPA (ENGPA) or the indication that they lack the minimum Chemistry or Math required for engpa (ENGPA1)
SFTGPA = the School of Technology GPA. If the individual is a dual degree student pressing the arrow keys will allow you to view the xxxMGPA for the second major.
- Press Rollback to process another student or Exit to return to a menu.
Name/ID Search
Remarks
Search for ID number or name of a person.
Directions
- In the direct access field, type SOAIDEN and Enter or press List Field Values from the ID field in the Key Block of a form.
- Enter ID and name information into the ID and/or Last Name/First Name fields. To narrow your query, enter in a value at ID, Last Name, First Name and/or Middle Name. Non-soundex searches are case sensitive and require an exact case match. If you enter in a partial name or just a first letter, use a percent sign (%) as a 'wild card' delimiter. This tells the system that you want to view all names containing the letter combination you specified up to the %.
- Press Execute Query. If you did not find the name/ID you were looking for press Rollback and repeat the process. If you accessed SOAIDEN from the ID field of a Key Block and have located the Name/ID you want, position the cursor on the ID number and press Select.
- If you accessed this form from a menu, scroll to the ID/Name that you want. To view further detail select "Search and Display More Detail (SOAIDEN)" from the drop down Options list. Press Execute Query. To capture the ID, press Exit. You will be returned to SOAIDEN. Scroll to the ID/Name that you want and press Exit.
- Press Rollback to start another query or press Exit.
Parent/Guardian Info
Remarks
Student's Parent/Guardian information.

- In the direct access field, type SOAFOLK and press Enter.
- Enter the individual's indentification number and press Next Block. If you don't know the ID number refer to quick reference #P1. Using the arrow keys will allow you to scroll through multiple records.

Room Attributes

View Room Special Characteristics and Technology Features
Directions
- In the direct access field, type SLARDEF and press Enter.
- Enter the Bldg number and Room number. Room number must be 4 character minimum). Press Next Block two times.
- Scroll down in the Attributes field to view the room characteristics and features.
- Press Rollback to process another room or Exit to return to a menu.
Room/Event Scheduling
Remarks
To schedule a room for a meeting, conference, or workshop. This procedure provides instructions for creating/scheduling an event. FYI: You must be granted update capabilities to the form SLAEVNT in order to add an event.
Directions
- In the direct access field, type SLAEVNT and press Enter.
- Enter ADD into the Event field. Press Next Block to proceed to the Event Information block.
- Enter the following, pressing Tab to navigate from one field to the next.

- Press Save to update the meeting time information in the data base. If a room conflict message appears at the bottom
of the form, select one of the following from the drop down Options list:
Building/Room Schedules (SSAMATX) to view the event previously scheduled.
View Event Available Rooms (SLIAEVN) to list available rooms.
- To view available rooms (SLIAEVN) enter a building code or capacity amount to help limit the search. Press Next Block and enter an
Attribute, or leave the Attribute field blank to receive all available rooms.Press Next Block. If an appropriate room is not displayed, press
Rollback to execute another query. (Change Building, Capacity, Time or Date to locate an available room).
- To select an available room from the list highlight the room and press Exit With Value.
- Press Next Block to enter a comment. Enter the text desired and press Save.
- Press Rollback to schedule another event or Exit to return to a menu.
Room Schedule Query
Remarks
A schedule of usage for all buildings and rooms on campus excluding departmental conference rooms.
Directions
- In the direct access field, type SSAMATX and press Enter.
- Enter the 2 digit Building code. Note: Enter a date or time range and press Execute Query to list the entire building, otherwise press Tab to proceed to the Room field and enter the 4 digit room number (precede with zeroes). If you want this room on all days press Execute Query. To query for a specific date, press Tab to the Start Date field and enter the beginning date to be included in the search (e.g. 05-SEP-2006). Enter the ending date to be included in the search in the End Date field (e.g. 15-DEC-2006). Press Execute Query. The example dates are for a full semester, excluding finals week. If you would like to search for a specific date, enter the same date in both fields. To search a certain day of the week, click the box for the day you want to search. The display lists classroom usage first, followed by scheduled events.
- Press Rollback to process another query or Exit to return to a menu.
Schedule Section Query
Remarks
Displays what course sections are being offered for a given term along with their course reference numbers.
Directions
- In the direct access field, type SSASECQ and press Enter or press Count Query from a CRN field in a form.
- Enter the term (YYYYMM format e.g. 200608).

- To access information for a specific Course Reference Number (CRN), Tab to the CRN field and enter the number. If you don't know the CRN:
- Tab to the Subject field and enter the subject code (e.g. HU).

Remarks
Academic history progress term by term including courses, current standings and transfer credit.
Directions

- Enter Level: Press the Search button to display the list of values for the field. Only the values that are applicable to that student will display.

The courses associated with the particular prefix are displayed in the Institutional and Transfer Courses blocks. Press Next Block again to proceed to the Courses block. Use the arrow keys to scroll through the information in each block.
- Press Rollback to process another student or Exit to return to a menu.
History Detail by Term
Remarks
Academic history progress term by term including courses, current standings and transfer credit.

Note: Entering a term will cause the history information to begin with that term and the total credits reflected may not be what you expect to see when entering a term. Leaving this field blank will cause history to be displayed from the earliest to the most recent.
- Press Next Block to view the Current Standing block. Press Next Block again to view the Term GPA block. The courses associated with the particular term are displayed in the Institutional Courses block. Press Next Block again to view the Institutional Courses block. Use the arrow keys to scroll through the information in each block.
- Press Rollback to process another student or Exit to return to a menu.
History Summary (Term Grades)
Remarks
A student's courses with grades from the most recent term to the earliest term available.
Directions
- In the direct access field, type SHACRSE and press Enter.
- Enter the individual's identification number. If you don't know the ID number refer to quick reference #P1.
- Enter the term: Format YYYYMM (e.g. 200608). Note: Entering a term will cause the history displayed to reflect only the requested term. Leaving this field blank will cause courses to be displayed for all terms from the most recent to the earliest.
- Press Next Block to view the course information. Use the arrow keys to scroll through the information in the block. Note: While in this block you may query on specific courses. Press Enter Query, Tab to the Subject field and enter the 2 character subject code, Tab to the Course field, you may leave this blank to retrieve all the course numbers or enter either the full course number or the first number followed by %. Press Execute Query.
- Press Rollback to process another student or Exit to return to a menu.
Student Ranks
Remarks
Student's rank by class, department, and college.
Directions
- In the direct access field, type SZARNAK and press Enter.
- Enter the individual's identification number and press Next Block. If you don't know the ID number refer to quick reference #P1. Note: The appropriate information will be displayed if the student was ranked in the last ranking process. The ranking date is noted on the form.
- Press Rollback to process another student, or Exit to return to a menu.
Student Registration Permit/Override
Remarks
Add or remove permissions/overrides for specific courses for a student.
Directions
- In the direct access field, type SFASRPO and press Enter.
- Enter the student's ID number. If you don't know the ID number refer to quick reference #P1.
- Enter the term code of registration that the permit-override pertains to and press Next Block.
- To add a permit, position the cursor on a blank line and fill in the following:
| Permit: | The code for the permission override. Press the Permit search button to display the list of codes. Select the code that you want. |
| CRN: | Optional-The course reference number for the course that the permit applies to. |
| Subject: | The subject code for the course (defaulted in if the CRN is entered). |
| Course Number: | The course number corresponding to the subject entered (defaulted in if the CRN is entered). |
| Section: | Optional-The section number of the course (defaulted in if the CRN is entered). |
- To remove a permit, highlight the permit that you wish to delete and press Remove Record.
- Press Save.
- Repeat this process as necessary if you need to add another permit for the same student. Press Rollback to process another student or Exit to exit to return to a menu.
Student's Schedule (Print)
Remarks
This process will produce a student's course schedule via networked printers. Note: Schedules require a special set-up prior to running the first time. Please see Need Help?
Directions
- In the direct access field, type SFAREGS and press Enter. The Student Course Registration form (SFAREGS) appears or the Student System Distribution Initialization form (SOADEST) may appear if this is the first time SFAREGS has been accessed since initial log in. If the SOADEST form appears, enter your printer name in the Schedules field and press Exit.
- In the Term field, enter the term for which a schedule is to be printed (YYYYMM format, e.g. 200608). Where MM=08-fall, 01-spring, 05-summer
- In the ID field, enter the individual's identification number. If you don't know the ID number refer to quick reference #P1.
- Check the Print Schedule box by positioning the cursor at the box and clicking with the mouse.
- Press Save. The schedule will begin printing within half a minute. The process is a sleep-wake printing function and this is dependent upon that function in order to print.
- Enter another ID number to process another student or press Exit to return to a menu.
Student's Schedule (View)
Remarks
An on-line view of a student's schedule.
Directions
- In the direct access field, type SFAREGQ and press Enter.
- Enter the term (YYYYMM format e.g. 200608). Where MM=08-fall, 01-spring, 05-summer
- Enter the individual's identification number and press Next Block. The form will display all registered courses and related information for the term and student specified. If you don't know the ID number refer to quick reference #P1. Note: The message "Confidential" will be displayed if the student has requested that their information not be released.
- Press Rollback to process another student or Exit to return to a menu.
Student Snapshot Form
Remarks
To allow easy access to a variety of student information used on a regular basis.
Directions
- In the direct access field type SZASNAP and press Enter.
- Enter the student identification number. If you don't know the ID number refer to quick reference #P1.
- Enter the term code and press Next Block (YYYYMM format e.g. 200608). Where MM=08-fall, 01-spring, 05-summer
- To view additional information click on the button for the desired information. Press Next Block to view the information. Press Exit to return to the main screen.
- Press Rollback to view another student record or Exit to return to a menu.
Telephone Numbers
Remarks
Student's telephone numbers.
Directions
- In the direct access field, type SPATELE and press Enter.
- Enter the individual's identification number and press Next Block. A list of telephone numbers will be displayed. Be sure to check the most current date corresponding to the address type you are looking for. (e.g. MA=mailing, HO=home, PA=parent, etc.). Using the arrow keys allows you to scroll through the list of numbers. If you don't know the ID number refer to quick reference #P1. Note: The message "Confidential" will be displayed if the student has requested that their information not be released.
- Press Rollback to process another student or Exit to return to a menu.
Test Scores
Remarks
Student's record of test scorre information (ACT'S or SAT's)
Directions
- In the direct access field type SOATEST and press Enter.
- Enter the individual's identification number and press Next Block. If you don't know the ID number refer to quick reference #P1. Using the arrow keys will allow you to scroll through the scores if necessary.
- Press Rollback to process another student or Exit to return to a menu.
Unofficial Transcripts
Remarks
This process will produce unofficial student transcripts via networked printers. Note: Transcripts require a special set-up prior to running the first time and printers must be able to accept PCL codes. Please see Need Help.
Directions
- In the direct access field type SHARQTC and press Enter. The Transcript Request form (SHARQTC) appears or the Student System Distribution Initialization form (SOADEST) may appear if this is the first time SHARQTC has been accessed since initial log in. If the SOADEST form appears:
- Tab to the Transcripts field
- Enter the name of your printer and press Exit.
- Enter the individual's identification number. If an Error Message displays because of a hold, enter a Y in the Overide Holds box.
- Press Next Block. Press Enter if a warning about multiple levels appears.
- Press Insert Record.
- Enter the information into the following fields, tabbing past those not noted:

- Press Next Block to enter Issue Information:
Issued: Enter the name of the printer on which the transcript will be printed, followed by the name of the individual requesitng the transcript (e.g. FAIHP4 Jane Smith).
- Press Save. The transcript will begin printing within half a minute. When multiple requests are submitted, these transcripts may print together. This process is controlled by a sleep-wake printing function and thus is dependent upon that function in order to print.
- Press Rollback to process another student or Exit to return to a menu.
Using a QuickFlow
Remarks
A QuickFlow is a technique that lets you access a set of forms in a specific sequence. You will enter an identifier and the first form in the sequence will appear. When you exit the first form, the next form in the sequence will automatically appear. This process continues until all the forms in the QuickFlow have been accessed and exited. They work in a loop. After you have passed through all the forms you are returned to the QuickFlow form. Directions
- In the direct access field type GUAQFLW and press Enter.
- Enter the code for the QuickFlow name in the QuickFlow field. Press the QuickFlow Search button to view a list of existing QuickFlows. Use the arrow keys to scroll through the list. Press Select to select a QuickFlow and return to the GUAQFLW form.
- Press Next Block. The first form in the series will be displayed.
- Press Next Block to view data in the form and press Exit to exit the form and proceed on to the next in the series.
- Continue to press Next Block and Exit until you have cycled through all of the forms in the flow.
- Press Exit at the end of the flow to return to a menu. You may not bypass completely any forms in the flow.
- Press Cancel to end the QuickFlow.
