8.2. Running Maintenance
Definition
Running Maintenance: Work that must be done to keep building systems, campus areas, and equipment operating in an efficient manner.
Examples are:
- Replacement of burned out lights and ballasts.
- Repair of broken stair treads and windows, inoperative door locks, light switches and outlets, parking gates and parking meters, plumbing leaks, equipment such as compressors, feed pumps, power scrubbers, and office and classroom furniture.
- Maintenance of roads, grounds, walks, and signs.
- Snow removal and sanding.
- Belt tightening, water treatment, control adjustment, lubrication, and filter changings.
Policy
Facilities Management will perform running maintenance and repairs of physical facilities consisting of, but not limited to, buildings, utilities, grounds, roads, and certain University-owned furnishings and equipment.
Equipment, engine, and electric motor repairs generally can be handled efficiently and effectively by a fully equipped shop outside of the University; therefore, commercial service shops should be used for this work.
All Facilities Management employees are authorized to accept running maintenance requests.
The cost for the majority of running maintenance service is covered by Facilities Management funding; however, repairs to items such as office or laboratory furniture or equipment will be charged to the requesting department. All items of work that are chargeable to departments are to be requested on a Campus Work Order Request with a valid University index number. All running maintenance performed by Facilities Management for Auxiliaries' programs is chargeable to those activities.
Procedure
To request running maintenance service, do the following:
- Contact Facilities Operations by personal visit, telephone 7-2711 or 7-2303, e-mail to <drnovak@mtu.edu> or <wjmckill@mtu.edu>, or written memo.
- Fully describe the nature of the problem and the work requested, its location by building and room number, and the urgency of the work.
- Indicate the availability of the area involved to facilitate scheduling the work.
- If the job is of significant magnitude:
- Complete a Campus Work Order Request form, available from Facilities Operations, with as much information as possible, including a valid departmental index number and signature of the financial manager.
- Send the white and yellow copies of the Work Order Request Form to Facilities Operations and retain the pink copy for departmental records.
- Receive confirmation by return of the yellow copy of the Campus Work Order Request, with a campus work order number assigned to it. Every effort will be made to inform the requestor as soon as possible, if for some reason(s) the requested work cannot be carried out.
Facilities Operations will contact the department to discuss scheduling of the job, when necessary.
