7.1.1. Conferences & Institutes
Definition
Conferences & Institutes (C&I): A division of the Special Academic Programs unit that administers conferences, workshops, seminars, certification training, institutes, and other events intended for adult learners to the MTU campus and local communities.
General Information
Below is a partial list of the services C&I offers:
- Conference organization
- Event marketing
- Brochures
- Account management
- Pre-registration
- Mailings
- Lodging
- Food Service
- On-site registration and management
- Transportation
- Programming assistance (especially after-hours recreational activities and guest programming)
- Site selection
- Welcome packets
- Signs
- Nametags
- Evaluations
- Post-event report and analysis
Procedure
If proposing a conference, institute, workshop, or other related event for adult learners, such as Elderhostel, do the following:
- Contact the division of Conferences & Institutes (C&I) by telephone (7-2263), e-mail <ci@mtu.edu>, or memo, indicating the proposed event name, date, time, location, and the target audience.
- Discuss conference coordination needs and expectations with C&I personnel.
- Inform the division of C&I of any changes in the event.
To request help from C&I with a conference or an event, do the following:
- Contact C&I personnel by telephone (7-2263), in person by stopping in at Room 202A of the Alumni House/Educational Opportunity building, or by e-mail <ci@mtu.edu>.
- Prepare an Activity Planning and Services Request, available from the C&I office, and forward it to C&I. Be sure to include the following information:
- the name of the sponsor or organization
- sponsor/organization address
- name and phone number of the requestor
- name and phone number of the person in charge of the event
- name of the event
- indicate whether the event is open to the public
- identify if there will be an admission charge
- identify specific facility desired (if known)
- provide information on the actual date, time, and length of the event
- for off-campus groups, provide proof of insurance prior to signing the rental agreement
Note: A determination of staff time required will be made and staff assigned.
- Sign all forms as may be required.
