Most of the questions people have had could be answered by referencing our MS-PowerPoint document. These questions didn't need to be included in the PowerPoint, but are worth addressing, so they are included in this document.

Q. What additional new documents would we like to scan, since we are already storing documents that we are required to keep?
A.

Q. Why would the university decentralize the document imaging function?
A. Most universities have "centralized by department" their scanning activity.

Q. Does that mean the current imaging plan would have individual departments getting their own scanners?
A. Yes. The reality is that the costs of scanners have become inexpensive. In fact, one overlooked scanning alternative is your photocopier. Your photocopier can become a scanner by having a scan card inserted into the photocopier. Some of the newer photocopiers already have this feature installed.

Q. If individual departments get their own scanners to do the imaging, how will the images be stored and indexed?
A. Every document imaging/management vendor has an indexing methodology. The scanned documents are also in text readable formats and therefore allow query functions in any number of ways.

Q. How will people receive training?
A. Training will be dependent on the document imaging and document management software we purchase. All of the vendors we have worked with use a web based product. The more immediate question is "Who will do the training?"
