Which month end summary report or BANNER form do I use for this index (fund/organization combination)?

Run Discoverer report FYGCHT002 - Index Reference List.   For each index, it will indicate whether it is YTD (Year-to-date), PTD (non research Project-to-date) or RSCH (Research Project-to-date).  The heading of the report indicates which Banner form, Discoverer Report, or Oracle Report to use.

What is the operating ledger?

The operating ledger is where revenue, expenditures and transfers are accounted for. Revenue account codes begin with R, expenditure account codes begin with P (payroll), B (benefits) or E (all other expenditures) and transfer account codes begin with T.  

What is the general ledger?

The general ledger is where assets, liabilities and fund balances are accounted for. Asset account codes begin with A, liability account codes begin with L and fund balance account codes begin with F.

How much financial data is available?

All financial transactions processed since July 1, 1993 are accessible via Banner or through reports. Use the fiscal year, accounting (fiscal) period and data parameters to select the desired data.  

What is the index termination date cut-off?

Indexes that are inactive and no longer have a balance are terminated. In a report the termination date cut-off is used to determine whether terminated indexes are included on the report. The report searches for all indexes with no termination date and all indexes with a termination date greater than the date entered.

How do I know when or if an index has been terminated?

Run Discoverer report FYGCHT002 - Index Reference List.   It will show the termination date of each terminated index. If at the parameter: "Enter index termination date cut-off." you enter 07/01/93 (the date Finance went live on Banner), all indexes in your department will be listed and the termination date will be listed for terminated indexes.  

Or use BANNER form FTMACCI.  Enter a query (press F7) and tab to the index field.  Enter the index. Execute the query (press F8).  The result will show the index termination date if there is one.  There is also an active check box.  If it is not checked the index has been inactivated.

What is a fiscal year or fiscal period?

Michigan Tech's fiscal year begins on July 1 of each year and ends the following June 30. Periods refer to the months of the fiscal year. At Michigan Tech, July is period 01, August is period 02 and so on until we get to June which is period 12.  

What is period 14?

In July additional accounting entries and adjustments are made that are posted to the prior fiscal year. These entries are made in period 14.  

When I run a report at the end of the year, are the period 14 adjustments included?

Yes, when you enter June as the ending month.

How do I know when accounting has closed a fiscal period?

Normally the books are closed on the second working day following the end of the month. A messaage will be emailed to finance systems users when the books have been closed.

What do I and F mean in the prompt "Enter sort order (e.g. F, I):"?

Some Discoverer reports allow you to choose the sort order.  For example: the worksheets in FYGOPL001 – Year-to-Date Department Financial Reports, gives you the option to sort by index or financial manager then index, both within a department.  Oracle Reports don’t have this capability so you have to choose the appropriate report.  For example: FYGOR501A – Budget vs Actual by Fmgr sorted by department then financial manager.  FYGOR501B – Budget vs Actual by Index sorts by department then index.
